Email Security
Due to the recent increase in the number of email attachments containing viruses we have adopted a stricter email security policy. Our mail server now rejects most executables (e.g., *.com, *.bat, *.dll files) and all .EXE files received as email attachments. Messages containing attachments that include any of these file types will be quarantined. When this happens, the user will be notified that a message intended for them has been intercepted.

In addition, the ability to click on a filename within an email message to open a document (e.g., a Word or Excel file) has been disabled. The new security measure, called "defanging," requires that users save the file before opening it. This allows our virus scan software to look at the file to make sure that it's uninfected. See the section entitled "How to save defanged attachments" as well as Figures. 1-3, below, for more information.

As always, users are encouraged to contact the system administrator if they have questions.

How to save defanged attachments

1. Within Messenger, click on the filename to bring up the Save As dialog box.
2. Select the folder where you want to save the file.
3. Remove the "xxxxDEFANGED-" portion of the defanged filename and click Save.
(e.g., As shown in Figures 1-3, below, the defanged filename is "myword.9514DEFANGED-doc." We remove the "9514DEFANGED-" portion when we save the document, resulting in a file saved as "myword.doc")
4. Either go to My Computer and double-click on the file to open it or start a program (e.g. Word or Excel) and open the file.

Figure 1. Defanging renames the attached document.

Figure 2. Clicking on the name of a document no longer opens it.
